Security Services & Shift Management

Security Shift Planning Software

Consider site rosters, duties actually carried out and handover notes together. In the security operations software we will build, staff assignments and hours worked will have separate scope. Access to patrol records, incident logs and document expiry dates will follow your sites and duty structure.

A staffed slot on the roster may not reflect the duty actually carried out

Judging staffing needs from the roster alone can hide an absent officer. If late leave or sickness updates stay in separate messages, it becomes unclear who took over. Month-end timesheets also need checks to avoid treating planned hours as hours worked. Separate patrol and incident notebooks can mean asking for the same information again at handover.

The software we will build will bring sites, required qualifications and shift assignments into the scope together. Actual duties and original plans can be separate records. You can define which supervisor receives an uncovered-shift report and who approves changes. Your working-time and rest rules will inform tracking fields. Site instructions, handover notes and incidents can also link through their responsible people.

Assumptions based on the roster

  • Planned duties may enter month-end totals as though they were carried out.
  • Last-minute changes may differ between site and staff lists.

Scope for plans and actual duties

  • Initial assignments and duty changes can have separate records.
  • Uncovered shifts can link to responsible supervisors and handover notes.

From assignment and site handover to patrols and hour checks

We will start a sample shift by assigning staff to a site. Required numbers and qualifications can be checked before assignment using fields you define. If the officer changes, a new decision can link to the original assignment without deleting it. We will also determine which shift owns each patrol scan and incident note. Finally, actual hours and handover details will be separate fields subject to supervisor review.

  1. 01

Assign an officer to the site

Site staffing, qualifications and shift intervals can be defined together. Document validity and your working-time limits can be included in assignment checks.

  2. 02

    Record duties and patrols

Checkpoint scans, shift logs and incident notes with photos can link to the duty. Shared-device use will require a separate design for identifying the officer using it at the time.

  3. 03

    Check handovers and hours

Notes passed to the next shift can stay separate from hours actually worked. Supervisor approval and selection of entries for timesheets will be defined together in the scope.

Add patrol records to the roster and hours core as needed

The first release could centre on site requirements, staff assignments and actual duties. Work, overtime and rest fields will follow limits you approve. If patrol tracking is needed, checkpoint arrangements and device types will be selected separately. Incident logs and staff document dates can link to assignments. Client reports will use fields separated from internal operational notes. We will also discuss separate mappings for hours sent to payroll software.

  1. Initial operations release

    Sites, staff and shifts
Required qualifications, assignments, uncovered shifts and actual hours can be selected together for the initial scope.
  2. Additions by site

    Patrols, logs and documents
QR or NFC scans, incidents, handover notes and staff document expiry dates can be added as needed.
  3. Software or device conditions

    Timesheet and scan connections
If your provider offers a connection, device data or payroll transfers will be examined separately within the project, including technical fields.

Distinguish rostered security duties from hours actually worked

A planned shift alone does not show that the person carried it out. You can record absence, late starts and shift changes as different outcomes of the same plan. We will keep original assignments, actual duty information and supervisor corrections separate. Fields can then help identify which monthly timesheet hours have been checked and which entries need explanation. Site coverage used in client reports will also be discussed through this distinction.

Person and site

Planned shift
An officer and shift interval are selected to meet the requirement.
Actual duty
Actual officer and site records can be verified separately.

Source of hours

Planned shift
Rostered start and finish times are retained.
Actual duty
Actual duration and authorised corrections are scoped.

Basis for reporting

Planned shift
Planned coverage and unfilled duties can be reviewed.
Actual duty
Checked hours can be selected for timesheet transfer.

Separate incident-log sharing from personnel information

Seeing site instructions and accessing a person's complete document and hours history are different needs. We will select fields for officers, site supervisors and operations management. Downloading incident photos or correcting shift hours can require separate permissions. You can decide which reports the client organisation sees and which operational notes remain internal.

Site officer and supervisor

Officers can access instructions and handover fields for their own shifts. Duty changes, incident review and actual-hour checks can be defined separately for supervisors.

Operations and client organisation

Operations management can access site assignments and document dates. Coverage, patrol and incident fields shared with clients will be selected separately.

Personnel and location data

KVKK, Turkey's personal data protection law, location records, document retention and relevant employment requirements will be considered in scope. Discovery will separately address the purpose and limits of location use.

Assign a replacement when an officer misses the shift start

When an officer does not arrive, consider site coverage alongside the replacement's total working hours. The software we will build can separately record absence, the supervisor notified and the replacement. Qualification, document dates and your work or rest limits will inform assignment checks. Identifying who made the decision will distinguish the change from the original plan.

Passing the next shift's handover note to the right officer will also be scoped. We will discuss rules that prevent absent staff's planned hours entering timesheets as hours worked. If the person arrives later, actual start time and changed responsibility can be treated separately. A missing patrol scan can lead to an explanation and supervisor review rather than determining duty status from that absence alone.

Effects of unrecorded changes

  • A replacement is named in a message while the roster still shows the original officer.
  • Uncovered time and actual duties become mixed in timesheets.

Assignment by supervisor decision

  • Absence records can link to replacement assignments.
  • Actual hours, uncovered time and handover notes can be checked separately.

Match security sites, personnel and document dates to one plan

Older rosters may spell staff names or site codes differently. Before transfer, we will examine which fields should provide the matching basis. Planned shifts and checked timesheet hours will be separate sources. Document expiry dates and outstanding leave information can also link to the new assignment structure. You can choose which historical periods to carry over and which corrections need authorised review.

  1. 01

    Match sites and staff

Use samples with personal information removed to check site codes, qualifications and staff relationships. Repeated names alone will not be a matching basis.

  2. 02

    Compare hours and documents

Review plans, actual duties and validity dates separately in a sample transfer. Uncovered shifts and missing-document fields can be identified for checking.

  3. 03

    Choose device and payroll routes

If your device or payroll provider offers access, examine the data method. File transfers, missing scans and behaviour during connection loss will be scoped separately.

Consider security-site entries through automation and mobile use

Shift management may need on-site data entry as well as a roster. Our automation service explains an approach to assignments, checks and reports together. The workflow automation article can prepare discussion of checks between assignments and actual duties. As you read, note shared devices and decisions referred to supervisors against one of your own shifts.

Scope the work with a roster, handover note and absence example

Share anonymised site rosters, handover forms and timesheet samples. Explain which supervisor decides on last-minute replacements. Together, we will define assignments and actual hours for the first release. Patrol scans, client views and payroll transfers will be separate requirements assessed against device and provider conditions.

  • Describe each site's staffing numbers and qualification needs.
  • Share the roles defining working limits and approving hour corrections.
  • Explain company devices, personal devices and shared terminals.

The proposal will reflect the selected site and field-record scope. Subscription use and support terms will be discussed in writing; external transfers will be described separately.

Frequently asked questions

What goes on the patrol checkpoints?

A QR label or an NFC tag. QR is cheap and reads with any phone; NFC is tougher and works better in the dark and on wet surfaces. We decide together during discovery which suits your checkpoints and environment.

What if officers don't have phones?

A company phone or handheld terminal can be used. If you would rather not involve personal phones, one device per post may be enough: it is handed over at each shift change and scans are recorded against the officer on duty.

Does it track location?

Recording location at the moment of a patrol scan can be included in the scope; continuous tracking is a separate decision and is designed to be off by default. Tracking an employee's location depends on notice and, where required, consent; the legal assessment rests with you and your adviser.

Does the software set the overtime limits?

No. You define the limits together with your legal or payroll adviser. The software keeps the running total, warns as a limit approaches and flags a roster that would exceed it when saving; it does not interpret regulations.

Does it calculate payroll?

We recommend keeping payroll calculation out of scope. Hours worked, overtime, night work and leave are recorded and can be exported to your payroll software; the export format is agreed per project.

Can our clients see reports?

If included in the scope, a contact at the client can see post coverage, patrol scans and incident records for their own sites on their own screen, to the extent you decide.

Would a replacement assignment delete the original roster?

The initial plan and change decision can remain separate. The absence explanation, deciding supervisor and replacement can be linked, while actual hours selected for timesheets are checked separately.

Would a missing patrol scan automatically mean the duty was incomplete?

An explanation and review workflow can be designed for the supervisor. Scan records, actual shifts and incident notes will be separate sources; your operations team determines the decision to take.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
