Occupational Health & Safety Software

Track workplace actions, training records and specialist-defined renewal dates together. For the software we will build for your OSGB, a Turkish joint occupational health and safety service unit, or in-house team, we will scope site findings separately from health-data access. Your documents will define workplace, employee and equipment tracking boundaries.

  • Actions linked to workplaces
  • Intervals defined by specialists
  • Separate health-data access

Keep specialist-defined dates available when teams change

Reviewing a workplace’s outstanding needs may require separate records from safety specialists, occupational physicians and workplace contacts. Training in files, site findings on phones and equipment dates in spreadsheets make handovers harder. Documents spread across personal folders can also obscure renewals.

The software we will build will define tracking around workplaces and assigned specialists and physicians. Your chosen intervals can be scoped separately from action owners and target dates. Training and examination tracking will distinguish employee dates from workplace plans. You select the summaries shared with workplace representatives and the tasks transferred when specialists change.

Person-dependent tracking

  • Open site findings and renewal dates remain in different tables.
  • Pending workplace actions must be searched for again at specialist handover.

Workplace-linked scope

  • Findings, responsibility and target dates could share an action.
  • Workplace history could continue through separate records despite assignment changes.

From visit findings to action owners and closing review

Our sample day starts with a workplace visit. A specialist’s finding, photograph and proposed action could link to that workplace. Your service procedures will determine who acts and who reviews completion. Training needs or upcoming checks identified during the visit could become separate tasks. This workflow will be considered separately from deciding which health records can be shared.

  1. 01

    Record findings at the workplace

Visit notes, photographs and relevant risk-assessment fields could be included. Methods and scoring will follow your specialists’ definitions.

  2. 02

    Assign the action

Corrective actions could have owners and target dates. Workplace explanations and specialist checks will be designed as different steps.

  3. 03

    Review closure

Reported completion could require specialist review. New evidence, photographs or explanations will retain links to the original finding in the proposed history.

Build workplace boards around training, risk and visit records

The first release could combine workplace identity, assignments and upcoming work. Risk fields will follow your methods; specialists define scores, measures and responsibility. Training attendance and medical dates may share an employee but need different treatment of sensitivity. Accidents, near misses and equipment checks could extend scope. Workplace access to its own actions will be designed separately through selected sharing fields.

  1. Initial tracking release

    Workplaces, dates and actions
Assignments, visit findings, responsible actions and specialist-defined renewals could be scoped together.
  2. Additions by service type

    Training, incidents and equipment
Attendance documents, accidents, near misses and periodic equipment checks could be added as needed.
  3. Dependent on external systems

    Data and notification transfers
If a system or provider offers access, permitted fields and technical conditions will be reviewed separately.

Different sharing boundaries for attendance and health surveillance

Training renewals and periodic medical examinations require different records. Training may focus on topic, duration and attendance; medical tracking must distinguish dates from access to health documents. These differences can define specialist and physician tasks. The project we will build will select employer-facing summaries separately from information for authorised health professionals. A shared employee identity will not mean access to all data for everyone.

Record content

Training tracking
Topics, duration, participants and attendance documents could be selected.
Medical examination tracking
Pre-employment and periodic examination dates will be scoped.

Renewal basis

Training tracking
Intervals defined by your safety specialist will apply.
Medical examination tracking
Examination intervals set by authorised professionals are considered.

Shared fields

Training tracking
Workplace attendance and missing-item summaries will be selected.
Medical examination tracking
Health contents could have separate permissions from tracking summaries.

Give health contents separate permissions from site actions

Safety specialists reviewing open actions and physicians reviewing health records need different access. Workplace assignment could be a permission boundary alongside roles in the project we will build. Documents and summaries for workplace representatives will be selected separately during discovery. You can define access after role changes and how downloads are recorded. Employee-list migration will follow the same access distinctions.

Specialists and site staff

Risk records, visit findings and corrective actions could have task-based access. Visibility of other workplaces will be assessed separately.

Physicians and health records

Health contents could be distinguished from date-only tracking. Viewing, downloading and correction permissions will be selected within physician responsibilities.

Sensitive data and obligations

KVKK, Turkey's personal data protection law, sensitive health data, retention and Turkish occupational safety requirements are scoped. Authorised people determine workplace-facing fields.

New training or examination records need not overwrite earlier records

An employee awaiting training renewal may also have an approaching medical examination. One completion mark can hide what remains outstanding. The project will scope training and examination states separately. Dates follow intervals defined by specialists and authorised health staff; applicable regulatory requirements will be reviewed with responsible professionals during scoping.

New attendance or examination records could leave earlier records intact with their own dates. Correcting an old document and recording a renewal will be designed as different actions. Employee transfers between workplaces require separate decisions on historical data and access. Missing documents, planned actions and verified completion will be distinguished when selecting tracking fields.

Renewals under one status

  • New training may appear to close an outstanding examination too.
  • A document correction may be treated as a renewal.

Separate periods and documents

  • Training and examinations could have different tracking states.
  • New records could retain links to earlier dates and documents.

Check employee lists against documents and actions

Migration will review workplace identity, employee matching and assignments together. Your authorised professionals will check the intervals behind old dates. Health documents can be included in a transfer plan with separate access from general documents. Where actions and equipment come from different sources, sample loads will check their workplace links.

  1. 01

    Define source relationships

Samples without personal or health information could map workplaces, employees and documents. Missing assignments or periods will be flagged for review.

  2. 02

    Verify dates

Training, examination and equipment dates will be compared separately. Authorised professionals select interval and next-date calculation bases.

  3. 03

    Assess external transfer

İSG-KATİP, Turkey’s occupational health and safety assignment system, and other sources depend on access conditions. Available connections will be scoped technically; otherwise files or manual records can be discussed.

Explore multi-workplace tracking through process automation

Task and renewal relationships affect tracking alongside workplace numbers. Our automation service explains considering findings, owners and checks together. The workflow article helps distinguish rule-driven steps from authorised decisions. Use these resources when preparing visit, training and action examples for our discussion.

Define scope using visit forms and renewal lists

Prepare a visit form, training list and open-action example without health or personal information. Explain the summaries you currently share with workplace representatives. We will select workplace, date and action relationships for the first release together. Health surveillance, equipment checks and client-workplace views will be assessed separately for their access requirements.

  • Identify roles approving intervals and renewal dates.
  • Distinguish information for specialists, physicians and workplaces.
  • Share employee-transfer and old-document correction examples.

The quotation follows defined workplace-tracking and sensitive-data boundaries. Subscription use, support and transfer conditions will be discussed in writing.

Frequently asked questions

Does the software make us compliant with the regulations?

No. Interpreting the regulations is the job of the safety specialist and the workplace physician, and the software gives no health and safety advice. Its job is to track the obligations and dates you define and to make gaps visible.

Does it work with İSG-KATİP?

We do not claim an official İSG-KATİP integration. Contracts and assignments continue to be handled in İSG-KATİP, the Turkish ministry's registry; whether information from it can be brought into the software, and how, is scoped per project.

Does the software know the renewal periods?

You define and confirm the periods according to the hazard class and current regulations. Updating them when the rules change is your responsibility; the software recalculates the dates from whatever you set.

How is employee health data protected?

Health data is a special category of personal data. Access to it sits behind its own permission, for example the workplace physician only, and access is logged. The software is designed to support the lawful processing of personal data under KVKK, the Turkish data protection law; your obligations as data controller remain with you.

Can client workplaces be given access?

If included in the scope, a contact at the client workplace can see their own open items, upcoming dates and documents. You decide how much is visible, and we design that screen to keep health data out of it.

Can it be built for an in-house safety unit?

Yes. The scope can also be drawn up for an in-house unit serving one employer's several workplaces or construction sites; the dashboard then shows branches and sites instead of client workplaces.

Would a new training document overwrite earlier attendance?

New attendance could have its own date and document. Earlier training remains in history; correction and renewal will be defined as different actions around your specialists’ procedures.

Could outstanding actions be handed over when the specialist changes?

Workplace assignment and open-action handover could be separate steps. Previous responsibility, new assignments and explanations remain linked; health-data access will have separate permissions.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
