Built around your exam preparation centre

Tuition and Exam Preparation

Tuition Centre Software

Discuss mock exam results, individual tuition and parent updates through the same pupil record. In the tuition centre software we will build, your scoring rules and tutors' assessments will be scoped as separate records.

Mock exam results need a clear next step in individual tuition

Importing an optical answer-sheet reader's output into a spreadsheet does not tell you which pupil needs help with which topic. When attendance stays on paper and homework in another list, tutors must combine several sources to answer parents. If exam results are disconnected from class records, arranging individual tuition means searching again.

Link pupils, subjects and topics to give tutors evidence for their decisions. The project will scope mock exam data, attendance and tuition appointments around the same pupil. A change in the net score, calculated under your exam rules, will not alone label a pupil successful or unsuccessful. Summaries shared with parents will be designed to include a tutor's interpretation.

Records tutors have to piece together

  • Mock exam spreadsheets remain separate from attendance and homework records.
  • Tuition needs go into another list after a parent meeting.

Preparation organised around each pupil

  • Mock exams, attendance and planned tuition will be scoped together.
  • Reports for sharing will be considered after tutor review and commentary.

From an exam file to individual tuition and a parent meeting

Walk us through a mock exam week. We will discuss who receives the results file, who checks topic mappings and which tutor prepares the parent report. Alongside your class timetable, show the classrooms and tutor hours reserved for individual tuition. The workflow to be developed will reflect how these responsibilities connect.

  1. 01

    Connect results to the pupil

Pupil responses will be reviewed using the reader's file or an answer key. Exam type, subjects, question count and scoring rules will be scoped according to your centre's definitions.

  2. 02

Assess topic needs with the tutor

Views of changes by subject and topic can be designed. The tutor uses this information to select individual tuition, with classroom and tutor availability considered in the same plan.

  3. 03

Review and share the parent summary

Draft reports using mock exam, attendance and homework data can be scoped. Once commentary and sharing approval are complete, updates can be planned for the selected recipient and channel.

Choose exam definitions, timetables and instalment records

Your centre may prioritise mock exam analysis, or want to organise attendance and parent communication together. We will review your exam types and results files to identify the initial areas. A pupil view, multiple branches and more detailed reports can be discussed as options beyond the first release.

  1. Tracking options for the first release

    Pupils and mock exams
Links between pupils, parents and classes, exam type definitions and subject and topic results can form part of the initial scope.
    Timetables and attendance
Classrooms, tutors, individual tuition and the attendance method can be designed together.
  2. Extensions for your centre's workflow

    Parent reports and instalments
Tutor commentary, a pupil's own view, enrolment agreements and instalment tracking can be extended to suit your needs.
  3. Work dependent on files or providers

    Answer sheets, messaging and accounts
The reader's file format will be reviewed. Notifications, accounting and invoicing connections will be scoped separately where your provider supports access.

Class topic summaries and each pupil's tuition needs

Class averages can help identify subjects a group finds difficult. Planning for one pupil also requires their own results and attendance. Explain which decisions each report should support so we can select its fields. In the software we will build, group summaries and individual assessments will have separately defined purposes.

Results view

Class-level planning
Selected class summaries by subject and topic will be scoped.
Individual tuition
Changes between a pupil's mock exams and tutor commentary will be considered.

Timetable decisions

Class-level planning
A class, classroom and tutor are allocated for a shared lesson.
Individual tuition
Individual tuition also links the pupil's availability to the appointment.

Sharing with parents

Class-level planning
The need for group comparisons will be assessed.
Individual tuition
The selected parent will receive the relevant pupil's results, attendance and explanation.

Separate tutor assessments from tuition centre accounting

Staff tracking payments may not need to see every exam result and guidance note. The project will scope task-based access for tutors, guidance staff, accounts and management. If you request a pupil or parent area, we will agree which results may be published and who decides what to share.

Tutors and guidance staff

Permissions will be selected for the relevant pupils' results, attendance and tuition plans. Preparing parent reports and approving their dispatch will be treated separately.

Accounts and branch management

Fields needed for agreed instalments and collections will be defined. For multiple branches, we will scope which pupil summaries each manager can access.

Pupil and parent data

KVKK, Turkey's personal data protection law, relevant legislation, parent access, retention and access logs will be considered in scope. Your centre is the data controller; sharing children's information will be discussed separately.

Reviewing parent reports after a mock exam answer key changes

An incorrect pupil mapping or a correction to the answer key may emerge in a results file. The report already sent to parents differs from the recalculated result. If the tutor's original comment referred to another net score, changing the number alone leaves the explanation incomplete. The correction's sharing workflow matters as much as its calculation.

In the software we will build, exam definitions, results checks and published parent reports will have separate states. You will choose who reviews a report after a correction. Recording the content previously shared and when revised commentary becomes available can be considered in the project. A scoring change will therefore not be treated as an unchecked notification to parents.

When only the spreadsheet is corrected

  • Parents may continue reading commentary based on the old result.
  • A pupil may be assessed using someone else's results after an incorrect match.

Sharing again after review

  • Corrected mock exam data and the previous report version will be treated separately.
  • Revised results and tutor commentary will be scoped for sharing after approval.

Match reader output to pupil records and exam definitions

Prepare a sample reader file without personal data and a blank class list. We will check whether the file contains results or response sequences, and which exam type its subject codes belong to. Importing earlier mock exams will depend on whether these fields can be verified.

  1. 01

    Review the file structure

Pupil codes, exam names, answer fields and subject divisions will be identified. Checking that the file matches the scoring definition will form part of the scope.

  2. 02

    Test matching with sample results

Duplicate codes and pupils moved to another class will be considered. The project will scope a trial import using sample results a tutor can verify.

  3. 03

    Check periods and recipients

We will decide how older results feed into current class summaries. Parent links and notification recipients will be checked; sending conditions require separate review if provider access is available.

Educational software and services to explore tuition management

See how pupils, parents and teachers use different areas of the same learning platform in Algoritma Academy. Your centre's reader files, mock exam scoring and tuition timetable will be scoped separately, using that example as a starting point.

Prepare a tuition centre proposal with an exam file and weekly timetable

Share your exam types, attendance method and a blank parent report. Showing the decisions a tutor makes after results helps clarify the initial scope. Instalments, pupil access and branch requirements can be discussed separately as later options.

  • Explain exam definitions and the subject fields in your results file.
  • Identify the resources required for individual tuition.
  • Choose who reviews reports and approves sharing with parents.

The proposal will follow the selected exam and timetable workflow. Usage arrangements, support terms and external connections will be discussed in the written scope.

Frequently asked questions

Will we have to enter mock exam results one by one?

No. If you have an optical reader, importing its results file can be included in the scope. If not, the answer key is entered once, student answers are uploaded in bulk and the software works out the net scores. We look at your reader's file format together in the discovery meeting.

Can different exam formats be defined?

Yes, the software is designed with that flexibility. For TYT, AYT, LGS or your own internal mocks, subjects, question counts and scoring rules are defined separately. A definitions screen that lets you add a new structure yourself when the exam system changes can be included in the scope.

Will parent reports go out automatically?

The report can be drafted automatically from the records, but we recommend setting it up so that nothing is sent before the tutor adds a comment. A report made only of charts tells parents very little; a short comment from the tutor is what makes it meaningful. It can go out by email, SMS or WhatsApp Business, scoped per project.

Will students be able to see their own results?

If you want them to. A screen showing students their own score chart, timetable and homework can be added to the scope. Some centres prefer not to offer it; what students, parents and tutors can see is set according to your decision.

Can we bring our existing student lists across?

Student, parent and class lists can be imported from Excel. Past mock exam results can be moved too if they were kept in a tidy file. Moving data from other software depends on what that software can export and is scoped per project.

Will results with an incorrect pupil code go straight into a report?

We can scope an import workflow that sends unmatched or conflicting codes for review. We will design results to enter report preparation after your authorised team confirms which pupil they belong to.

Will a parent report already sent be reviewed when the answer key changes?

We can treat result corrections and sharing approval as separate states. Reassessing net scores and the tutor's earlier commentary, then releasing an updated summary to the selected parent, will be defined in the project scope.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
