Wedding planning scoped around your venue
Wedding Venues and Outdoor WeddingsBring the couple's reserved date, the kitchen menu and the payment plan into the same wedding file. We will scope the software we will build around your venue calendar, team responsibilities and decisions that change during preparations.

A Saturday that looks available during a sales meeting may already be on hold in another colleague's diary. Menu choices and guest numbers stay in the contract while the kitchen prepares from an older list. You need to review booking status and the source of changes together rather than search for the latest decision. The software we will build will link dates, selected spaces and wedding files. Confirmation approval and provisional booking review will be treated separately. Last-minute seating changes and the teams that need them will also form part of the file's workflow.
Start with a couple visiting the venue and asking about a date. After you explain hold conditions, package selection, deposits and preparation decisions can link to the same event. The kitchen awaiting final numbers and sales awaiting payment are different outstanding tasks. The project will identify their owners and review stages. Wedding-day planning will cover more than a start time: we will discuss which information connects service, decoration and music handovers.
The hall or outdoor venue, requested date and hold expiry will be designed as records. You decide the deposit and authorised approval needed for confirmation.
Packages, special menus, guest counts and seating plans will be separated according to team needs. Which lists need checking after a change will be scoped.
Tasks can link to the event. Received instalments, outstanding payments and later additions will be planned for assessment in the same wedding account.
Choose the decision that causes most confusion first. A single venue may prioritise dates and payments; an operation working closely with its kitchen may also need menus and final numbers in the first release. We will document scope around those choices. Editing rights for any couple area need separate discussion: a request from the couple differs from a change approved by your business. The project will consider how preparation records avoid being altered by every draft in a sales conversation.
Indoor and outdoor spaces may share a calendar but need different preparation decisions. Weather contingency plans and alternative-space notes may belong to an outdoor event. Explain capacities and shared teams so we can review preparation conditions alongside availability. Allocating the same service team to two spaces may need planning beyond two separate bookings. This comparison helps choose the required information for each space.
| Different preparation decisions for wedding halls and outdoor venues | Indoor wedding hall | Outdoor wedding venue |
|---|---|---|
| Layout decisions | Seating is considered against your defined hall capacity. | Layout is scoped with venue capacity and alternative arrangements. |
| Preparation notes | Decoration and service tasks can link to the hall event. | Weather notes and a rain contingency plan can be considered separately. |
| Shared teams | Team needs are selected from the hall's task times. | The alternative space's effect on the same team enters planning discussions. |
Showing special menu information to the kitchen need not open the couple's entire payment file. The software we will build will design access around sales, kitchen and management tasks. We will choose which guest fields are actually necessary. Special menu notes may contain personal or sensitive data, so needs and access boundaries will be assessed under KVKK, Turkey's personal data protection law. Exporting lists, approving menu changes and correcting payments will not be one permission.
Permissions for couple contact details, packages, contract summaries and payment plans will follow your responsibilities. Action history needs will be assessed in the project.
We will select who sees final numbers, seating and necessary menu notes. Information sharing for preparation lists will be defined separately.
Retention, sharing and deletion needs will be discussed in scope. Your business is the data controller for couple and guest data; messaging permissions will also be assessed.
An expiring hold and a menu change require different decisions. One concerns whether you can discuss the date with another couple; the other may require reviewing the proposal and kitchen preparations. Hold review, confirmation and menu revisions will be scoped as separate states. We will discuss the effect of guest-count changes on instalments under your rules. Keeping previous choices while recording who approves the new request can be designed. Notification needs may differ between weddings without final kitchen lists and those already in preparation.
We will review dates and payments appearing in different files for the same couple. Consistent venue names, distinct provisional and confirmed states, and clear outstanding instalments for future weddings matter. A blank booking form and anonymised sample list let us map fields. Import acceptance will consider more than record counts: date, menu and payment relationships for selected weddings will also be checked in the project.
Mapping older hall, garden and outdoor venue names to new definitions will be discussed. You will check the states of bookings on the same date with us.
Deposits and remaining payments can enter a trial import by event. Missing payment descriptions and duplicate couple records will be reviewed separately.
Reminder connections can be scoped if your provider offers technical access. Message stages and consent records will be discussed separately.
A wedding file needs more operational and permission decisions than a promotional page. Use the pages below to explore our development approach and related record structures. When considering ready appointment software, remember that weddings need extended preparation and team coordination beyond a short appointment. Your space bookings, menu revisions and payment plans will be reviewed under their own rules during discovery.
Bring your space list, blank contract summary and kitchen preparation form. Explain who decides changes to holds, menus and guest numbers. For the software we will build, we will choose date and collection priorities first, followed by seating and task requirements. Couple information areas and provider-dependent work will be discussed separately within scope.
The proposal will follow modules agreed with your venue and connection conditions. Subscription use, support and requests for other contractual arrangements will be clarified in writing.
We do not sell an off-the-shelf package: we design the software around your workflow, build the first version in short steps and keep running it after launch.
We listen to how your business works, your team and the tools you use today.
Modules, priorities and price are set out in a written quote.
We show working versions at short intervals and move on with your feedback.
We move your existing records across and help your team get started.
We run the software on a subscription and keep it up to date and secure.
That is one of the core parts of the scope. Each hall or space can appear as its own band in the calendar, so weddings on the same day in different halls sit side by side. The calendar is designed so that a second confirmed booking cannot be entered for the same space and date.
We set this up to suit you. For most venues we recommend a warning when the hold expires and leaving the decision to you; releasing a date without telling the couple can cost you the booking.
The scope can be set up for it, with spaces defined instead of halls. Capacity, weather notes and the rain plan can be kept with each space, and menus and extras are designed to work exactly as they do for indoor halls.
If you wish, a screen showing the couple only their running order, payment plan and guest details can be added to the scope. You decide what appears on it.
It does not need to. Separate permissions are defined for the venue manager, the sales team and the head chef; the kitchen sees the menu and guest numbers, while payment and contract details stay with sales and management.
Keeping earlier menu choices and new requests separately can be assessed in the project. We will define the relationship between approval, final guest numbers and the latest kitchen list around your preparation routine.
The additional service request and approval can link to the event. Its effect on the proposal and outstanding payment will be scoped under your rules; the preparation team's task will be considered separately.
After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.
In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.
We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
