Hotels, Guesthouses and Boutique Stays

Hotel and Guesthouse Software

Consider booking commitments, room preparation and guest accounts within one workflow. We will choose the scope of the hotel management software we will build around your room types, sales sources and reception's daily records.

An empty hotel room is not always ready for a guest

When telephone bookings go into one book and online enquiries into another list, checking commitments for the same room becomes difficult. For an early arrival, a vacant room may still be awaiting cleaning. Extras reach the checkout bill late, while agency and direct bookings can become confused.

In the software we will build, reservations, physical room status and guest accounts will be linked but separate processes. You will define the difference between a provisional hold and a confirmed booking. The checks needed to sell a room and to hand it over to a guest will therefore be explicitly scoped.

Your current process

  • Booking sources and room cleaning remain in separate lists.
  • Extra charges reach the checkout account later.

In the software we will build

  • Provisional holds, confirmed bookings and room preparation will have distinct statuses.
  • Accommodation and extra charges will be linked to the guest account.

An early-arriving guest from reservation to checkout

Consider a guest who books by telephone and arrives early on the check-in day. The booking commitment, room allocation decision and housekeeping readiness update will be examined as different steps. When you show us your check-in and checkout documents, we will scope these steps around your property's working methods.

  1. 01

    Reservations and provisional holds

Dates, room type, guest numbers, sales source and deposits will be considered together. Your business rules will define when a hold becomes confirmed and when it is released.

  2. 02

    Check-in and room preparation

Guest registration, room allocation and cleaning checks will be separate steps. Faulty rooms can be excluded from sale; waiting arrangements for early arrivals can be added to reception's workflow.

  3. 03

    Guest account and checkout

Accommodation, extras and payments will be linked in the guest account. After checkout, the room will be scoped to return to housekeeping and become ready again following cleaning checks.

Start with hotel room lists and guest accounts

For a small guesthouse, a daily room list and guest account may be the initial priorities. Properties using more varied sales sources will need separate consideration of room types, pricing periods and channel mapping.

We will establish which record each connection relies on. Managing channel agreements, taking over official reporting obligations and unconditionally connecting every sales channel are outside this proposed initial scope. Technical requirements for requested connections and your property's reporting method will be assessed during discovery.

  1. For the first version

    Rooms and reservations
Room types, provisional holds, confirmed bookings and arrival and departure lists can be chosen for the first version.
    Guest accounts
Accommodation, extras, payments and outstanding balances will be defined alongside the daily workflow.
  2. Added as needed

    Housekeeping and seasons
Cleaning tasks, fault reports, seasonal pricing rules and agency accounts can be added as needed.
  3. Dependent on external systems

    Channels and notifications
Channel manager, payment and invoicing connections will be scoped separately if your provider offers API access and technical conditions allow.

A single hotel or properties with shared sales

With several properties, one room calendar is not enough. Searching another property for a room, viewing a consolidated management summary and keeping local housekeeping tasks separate require different permissions. We will divide the scope according to whether you share sales across properties. Transferring a payment received at one property to a stay at another will also be assessed separately from ordinary payment entries.

Availability

Single property
Room types and physical rooms will be matched within the property.
Multiple properties
Each property's room inventory and shared sales view will be scoped separately.

Housekeeping

Single property
Cleaning and fault lists will be available to the local team.
Multiple properties
Property-specific tasks and central summaries will be defined.

Guest accounts

Single property
Charges and payments will be linked to the same property's account.
Multiple properties
A separate rule will be defined if account transfers between properties are needed.

Access for hotel reception, housekeeping and accounts

Guest identity, room cleaning and financial accounts should not share the same access rights. The software we will build will select the information each team needs for daily tasks. We will discuss identity document viewing, account corrections and booking cancellations separately. Handover of unfinished work at a shift change can also be recorded.

Reception

Guest fields needed for reservations and check-in will be scoped. Exporting identity details and editing old bookings will have separate permissions.

Housekeeping

Room numbers, cleaning status and fault notes will be considered within the role. Access to guest identity documents will not be included with this task.

Management and personal data

Account corrections and cancellations will be linked to authorised users. KVKK, Turkey's personal data protection law, retention and official reporting needs will be assessed; your property is the data controller.

Room and deposit decisions when a hotel booking changes

Overbooking, a faulty room and a last-minute extension require different responses. In the software we will build, the source of the problem, options offered to the guest and the authorised person's decision will be scoped as separate records.

You will define how price differences are handled when changing room types. Cancellation will be considered alongside deposit refunds, sales sources and reopening calendar availability. If an external channel sends a delayed change, the relevant record will be reviewed before a decision; connection error handling will also be addressed in the project.

What makes the decision difficult

  • Room changes and deposit refunds remain verbal decisions.
  • An external channel cancellation may reach the local list late.

Workflow to define in the project

  • Alternative rooms and price changes will be linked to a decision record.
  • Cancellation, refund and reopening availability will be scoped as separate steps.

Migrating future reservations and open folios

We will review how room numbers and types are stored in old lists. Future reservations, open guest accounts and deposits will be checked separately during migration. Channel manager connections require room and rate code matching. If your provider offers API access, retrieving change and error records will be scoped separately.

  1. 01

    Review the source records

We will examine room codes, arrival and departure dates and future reservations in records with guest details removed. Mapping will distinguish an open folio for a current stay from a previously closed account.

  2. 02

    Trial transfer and review

The trial transfer scope will include comparing future reservations with room types and payment entries in open folios with you. Room-change records and deposits with unclear account links will receive separate checks.

  3. 03

    Establish the connection requirements

If API access is available for reservation connections, room codes, booking statuses and cancellation responses will be examined. Without access, reservation file transfers or reception record entry will be considered around your operation.

Proposal based on room changes and folio examples

Prepare your room types, blank booking form and sample checkout bill. Include cancellation, deposit and early check-in rules. Using examples without personal data, we will establish together which records direct sales and your channels rely on.

  • Identify responsibilities for reservation changes and folio closure.
  • Choose room-change and open-account priorities for the initial scope.
  • Prepare reservation and payment examples with guest details removed.

Future reservations, open folios and room-change examples will define the development proposal boundaries. The usage model, support and scope of reservation connections under review will be discussed in writing.

Frequently asked questions

Can it connect to online booking channels?

Channel connections depend on each platform's partner requirements and on the channel manager you use, so they are scoped per project. Either way, we build the software on a single availability source, so your own direct sales cannot sell the same room twice.

Can housekeeping staff use it on a phone?

We design the housekeeping screen for phones, so that marking a room clean takes a single tap. Reception then sees the room's status without having to ring the floor.

Can official guest reporting such as KBS be handled?

A connection or an export for reporting guest details to official systems such as KBS can be assessed as part of the scope. How it is set up depends on the method your property uses and on the official requirements, and is clarified in the discovery meeting. The reporting obligation remains with the operator.

How are guests' identity details protected?

Identity details are personal data that should be kept only as long as their purpose requires. We design the software to hold them with role-based access and an access log rather than in a shared spreadsheet. As the operator, you remain the data controller.

Does it suit a very small guesthouse?

The scope follows the size of the property. For a ten-room guesthouse, the room board, reservation calendar and guest folio are often enough to start with; pricing and reporting layers can be added when they become useful.

How are double bookings prevented?

We design reservations to be written to one availability source. Even if two bookings arrive at the same moment, the room is locked by the first completed transaction and the second is refused before confirmation. This is a rule built in at database level, not a warning someone can click past.

How will room allocation for an early-arriving guest be handled?

In the software we will build, an empty room and a clean room ready for handover can have distinct statuses. Your property rules will define when reception can decide to keep a guest waiting or offer another room.

Will a deposit refund and cancellation be the same record?

Booking cancellation, deposit accounts and any refund can be designed as related but separate steps. The authorised refund role, sales source and your cancellation terms will be assessed together during discovery.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
