Departure planning for your travel business
Tour Operators and Travel AgenciesConsider seats, hotel room allocations and provisional holds for each departure together. We will define the tour operator software we will build from passenger lists and your agency's decision rules, covering sales through to guide preparation.

A seat may be available without a suitable hotel room. A telephone hold kept in another list can lead a partner agency to sell the same place. If the passenger list does not match payment status before departure, operations must check again. The software we will build will scope tour definitions, dated departures, seat allocations and room matching as linked records. You decide when a sale becomes confirmed. Available capacity and places on hold can then be distinguished through that decision.
Consider a coach tour starting on a specific date. Once vehicle capacity, room allocations and costs are defined, reservations can link to the departure. Explain how deposits lead to confirmed sales so we can design holds separately. Guide information and accounting data can be scoped in different lists. Comparing revenue and costs after departure also requires selecting recorded items beforehand; calculations will be based on information you provide.
Dates, vehicles, seating plans and hotel room allocations can be defined under a departure. Fixed and variable costs will follow your business's method.
Reservations will match seat and room requirements. Hold expiry, deposits and remaining payments will follow decisions in your sales process.
Guide, driver and vehicle assignments and conflict checks can be assessed. Guide and hotel lists will have separately selected fields.
Decide whether place sales or departure preparations need organising first. Seat and room matching with hold checks may form the first release's core. Guide assignments and departure accounts can be initial or later scope according to your records. Partner access will need separate visibility rules. We will discuss boundaries between partner sales and passenger data maintained by central operations. Website reservation imports will depend on access from your existing infrastructure.
A day trip may prioritise seating, while an overnight tour also needs suitable room types in the sales decision. Show your tour types and room matching methods so we can select resource checks for each departure. Different room allocations may use the same coach capacity, so the meaning of occupancy summaries also needs defining. This is a design decision supporting sales availability assessments and accurate operations lists.
| Balancing resources in seat-led and overnight tours | Seat-led departure | Overnight departure |
|---|---|---|
| Sales resources | Seat capacity and provisional hold status are reviewed first. | Suitable room types and allocations are assessed alongside seats. |
| Allocation details | Reservations are scoped around the vehicle seating plan. | Single, double or triple room matching is selected separately. |
| Preparation lists | Passenger fields needed by guides and drivers are selected. | Hotel rooming lists will have separate fields and access rules. |
Passenger identity and passport details should not have the same visibility for every sales or operations user. We will discuss required fields according to the tour. Partner agencies viewing their reservations, guides accessing preparation lists and accounts checking payments will be separate permissions. Document copies, list sharing and retention will be assessed under KVKK, Turkey's personal data protection law, and relevant legislation. Recording visa status differs from determining travel conditions; you supply the checks to be recorded.
Permissions for reservation editing, allocation changes and guide lists can be selected. Viewing document fields will be reviewed separately.
Access to released allocations and the partner's own records can be designed. Other partners' sales and cost data will remain outside that task scope.
Retention and sharing needs for identity, passport and contact fields will be assessed. Your agency is the passenger data controller.
Full capacity may require a waiting list; cancellation reopens decisions for existing reservations. The software we will build will consider waiting requests separately from holds with allocated places. You decide which request receives an available seat and how room suitability is rechecked. Cancellation can have separate passenger notification, alternative departure and payment steps. Refund or deduction terms and relevant legislation will be assessed in scope. Decision history retaining earlier sales states can help identify outstanding actions for each reservation.
Different dates of the same tour may have similar names in old lists. We will first review how you distinguish departure dates, vehicle plans and room allocations. Sample mapping can cover holds and confirmed sales. An anonymised passenger list enables seat and room consistency checks. Comparing deposits and outstanding payments can be planned as a separate acceptance step beyond record counts.
Tour names, departure dates and resource codes will be mapped. The same passenger's records on different departures will be distinguished.
Holds without expiry information can enter review. We will compare sample reservations' seats, rooms and remaining payments with you.
If your web infrastructure offers technical access, we will select the authoritative record. Failed imports and duplicate reservations will have separately designed checks.
Record handovers matter alongside user roles when sales and departure preparations share a project. Explore custom agency interfaces through our web service, and approvals and tasks through the automation project. These pages help prepare workflow discussions; your tour's seat and room rules require separate definition. A sample reservation showing when operations takes over makes scope clearer.
Start with a blank seating plan, sample room allocation and reservation form. Explain hold confirmation, departure cancellation and cost-entry responsibility. We will choose the software's first scope around sales and operations decisions. Partner access and website connections will receive separate technical assessment.
The proposal will follow departure types, user roles and selected connections. Subscription use and support scope will be discussed separately in the contract.
We do not sell an off-the-shelf package: we design the software around your workflow, build the first version in short steps and keep running it after launch.
We listen to how your business works, your team and the tools you use today.
Modules, priorities and price are set out in a written quote.
We show working versions at short intervals and move on with your feedback.
We move your existing records across and help your team get started.
We run the software on a subscription and keep it up to date and secure.
That depends on your website's platform. In the discovery meeting we look at the system you use and confirm whether it will be a direct connection or a file transfer. For agencies without a website, a simple booking form can be added to the scope.
You enter the fixed and variable costs; the software can be designed to calculate the break-even seat count and mark occupancy against it, updating the calculation when a cost changes. Deciding which costs are fixed and which are variable is up to you.
Yes. Visa status, passport expiry and flight details can be added to the passenger record. Flagging passengers whose passport validity is shorter than the destination country requires can also be part of the scope.
If you wish, partner agencies can be given limited access: they see only the available allocation and create bookings, without seeing other agencies' sales or your cost information.
You define the rules, for example by the number of days left before departure; the software is designed to apply the rule and calculate the refund. Checking that the rules comply with regulations and with your booking terms is your responsibility.
Keeping waiting requests separate from confirmed sales can be assessed. We will define the order of offering the seat, checking room suitability and recording the sale according to your agency's method.
Guide assignments can be scoped with change history. The new guide's date availability and passenger access will be assessed separately; we will choose together how earlier preparation information is retained.
After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.
In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.
We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
