Construction & Contracting

Construction Valuation Software

Link measured site work to contract items, technical-office approval and periodic progress claims. We will define checks for quantities, deductions and payments in the construction progress-payment software we will build around your firm's contracts.

Base site measurements and periodic statements on the same records

When preparing a progress claim, assess which work each quantity represents. Photos in messages, item lists in separate tables and deductions in other calculations make the basis difficult to explain. Reusing a previous period's quantity or omitting advance recovery adds further checks. We will scope a structure linking site entries to contract items, locations and periods. Together, we can select rules keeping technical-office accepted quantities separate from site proposals.

Information that obscures the statement

  • A photo's work cannot be traced to its contract item and period.
  • Previous-period quantities and new measurements become mixed in one table.

A basis to establish in the project

  • Location and contract item can link to the measurement's source record.
  • Approved period quantities can be distinct inputs to cumulative calculations.

From site entries to an approved progress-payment summary

Let us use one period of a subcontract as an example. We will examine measurement methods, transfer to the technical office and documents supporting deductions. These steps help select development scope; approval order can follow your employer's and internal arrangements.

  1. 01

    Define the contract

Item numbers, units and prices can link to the contract. Inputs such as advance recovery and retention deductions will follow contract terms you define.

  2. 02

    Have measurements checked

Site quantities, locations and photos can be included. A project rule can exclude proposed measurements from claims until technical-office review and approval.

  3. 03

    Separate summaries from payment status

Period amounts, previous claims and cumulative totals can be designed for joint calculation. Payment status and deduction lines on approved claims can be tracked separately.

Set initial boundaries with contract items, approvals and deductions

We can start with fields bringing together the basis of claims. Clear links between contracts, measurements and period calculations determine the data later reports use. We will also discuss who verifies additional work at the outset.

  1. Core period scope

    Contract and summary
Unit-price lists, site measurements, technical-office checks and periodic claims can form the starting scope. Separate deduction lines will follow your calculation arrangements.
  2. Further requirements

    Security and site access
Security instrument expiry dates, release conditions and project summaries can be added. Capturing measurements and photos with weak connectivity for later synchronisation will be assessed separately.
  3. Work dependent on outside systems

    Financial-record transfers
Accounting and Turkey's e-invoice access will be examined if your provider supports it. For external price-adjustment data, sources and retrieval conditions will be defined separately.

Compare checks for subcontractor claims and submissions to the employer

Internally accepted measurements may need a different presentation to the employer on the same project. Price lists, deduction bases and statement formats require separate consideration for each contract. We will plan which completed work links both calculations and which prices and approvals remain separate. This keeps each party's figures distinct.

Measurement checks

Subcontractor progress claim
Subcontractor proposals can remain separate from technical-office acceptance.
Progress claim to the employer
Submitted quantities can follow the employer's checking stages.

Calculation basis

Subcontractor progress claim
Subcontract prices and deductions can be defined.
Progress claim to the employer
Employer-contract items and approval conditions can be treated separately.

Output format

Subcontractor progress claim
Period statements discussed with the subcontractor can be scoped.
Progress claim to the employer
Employer-required summary and measurement formats can be assessed.

Separate site proposals, technical approvals and accounting permissions

Access to measurement sources and authority to finalise claims are different responsibilities. Site staff may not need to change contract prices. The software we will build can include tracking who made a post-approval change and which record it affected.

Site and technical office

Site quantities and photo proposals can have permissions separate from technical review and acceptance. If subcontractor access is selected, it can be limited to their own work.

Accounting and management

Payment status, advance recovery and security information can have task-based permissions. Management reporting does not imply authority to edit every site record.

Personnel and contract data

KVKK, Turkey's personal data protection law, will be considered for staff details and personal data in photos; your firm is the data controller. Occupational safety, fiscal, deduction and contract requirements will be assessed with your authorised advisers.

Link disputed measurements and progress claims to the same construction work

Prepare for discussion by retaining disputed quantities' sources. Replacing a subcontractor's measurement with the technical office's accepted figure loses the reason for the difference. We can scope proposed and accepted quantities, photos and explanations in separate fields. An objection to an approved claim can link to its earlier period. Your authorised team will decide the correction period and its cumulative effect under your contracts.

Records that hinder discussion

  • The first measurement is overwritten by the final quantity, losing its basis.
  • It is unclear whether a correction belongs to an earlier claim or the new period.

A trail to choose for disputes

  • Proposal, acceptance and explanation can link to the same location and item.
  • Revision requests can be considered with the period and approval decision.

Match unit-price lists and previous construction claims

Choose the correct opening values for period calculations. Transferring item prices alone may not carry over accepted quantities or outstanding advances. We will examine authoritative fields using contract and statement examples without personal data.

  1. 01

    Match items and units

Separate item codes, measurement units and contract versions. Where one number has different descriptions, prepare mappings for your technical office to verify.

  2. 02

    Check opening period values

Compare previous claim totals, remaining advances and retention deductions in a sample transfer. Outstanding disputes and acceptance checks can be included in development.

  3. 03

    Choose outputs and connections

Assess the employer's familiar table format using a sample. Financial transfers depend on provider access; file-output boundaries can be defined separately.

Explore the transfer of site information to the technical office

Before discussing scope, note how often the same measurement is re-entered. Service and project examples can help discuss how records move between teams through decisions. We will derive claim-specific contract and statement fields from your firm's documents.

Prepare a blank measurement sheet and deduction example

Prepare anonymised contract-item lists, measurement sheets and deduction examples without sensitive commercial data. Explain how a disputed quantity is resolved today. These documents can identify the fields your technical office and accounting team check.

  • Share the approval sequence used at period close.
  • Describe site connectivity and photo-record needs.
  • List employer outputs and accounting transfers separately.

The proposal will reflect contract types, calculation rules, statement formats and site-access boundaries. Subscription use, support and additional development will be discussed in writing.

How we work

We do not sell an off-the-shelf package: we design the software around your workflow, build the first version in short steps and keep running it after launch.

    Discovery

We listen to how your business works, your team and the tools you use today.

  2. 02

    Scope and quote

Modules, priorities and price are set out in a written quote.

  3. 03

    Development

We show working versions at short intervals and move on with your feedback.

  4. 04

    Setup and migration

Frequently asked questions

Will we have to key in unit rates every time?

No. The schedule of rates attached to the contract is loaded once; after that, choosing an item brings its rate from that schedule. If you work with public sector unit price items, importing those lists can also be planned into the scope.

Do we have to give up Excel completely?

No. Providing the valuation summary and measurement sheets as Excel files, in the format the client or supervising engineer is used to, can be part of the scope. The aim is for the software to be the single reliable source inside the company.

Signal on site is weak. Will site entry work?

We address this in the scope from the start. The software can be designed so that quantities and photos entered on a phone are held on the device and uploaded when there is signal; whether site entry actually gets used depends on that.

Can price adjustments be calculated?

The price adjustment formula defined in your contract can be included in the scope. Index values are entered manually, or importing them from a defined source can be scoped. The calculation is done in the software; checking the inputs remains your responsibility.

Can our subcontractors log in?

If you want them to. A subcontractor can be given rights to see only their own work and to propose quantities, while approval stays with the technical office. If you prefer not to give access, the technical office enters the work and the flow stays the same.

Can tax deductions be shown in the valuation?

Deductions such as withholding tax and VAT withholding can be defined with the rates and rules your accountant sets and shown on separate lines in the valuation. Deciding which deductions apply is a matter for your accountant, not for the software.

When could a disputed quantity enter the progress-claim total?

Technical-office accepted quantities can remain separate from disputed proposals. Together, we will define which approval changes totals and which period receives the correction, according to your contract.

Are security instruments and retention deductions the same record?

An instrument's expiry and release conditions differ from deductions calculated in a claim. These fields can be linked; discovery will select each source document and responsible reviewer.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
