Shipment scope for your delivery operation

Courier & Parcel Operations

Courier & Parcel Delivery Software

Review acceptance, courier handover and proof of delivery in one movement history. We will scope the courier and parcel software we will build around your regions, delivery responsibilities and cash-on-delivery reconciliation.

  • Movements linked through barcodes
  • Proof linked to each shipment
  • Separate courier and cash checks

Make the stages between dispatch and delivery visible

When a shipment's status after leaving the transfer centre stays in telephone conversations, updates to the sender become uncertain. A courier may report delivery without the recipient's name and record attached to the shipment. At day end, staff search again for which parcel a payment belongs to. The software we will build will scope acceptance, custody, dispatch and delivery as different movements. You choose who records each checkpoint. Physical location and payment status will have distinct meanings in the operational design.

Information lost while parcels travel

  • Courier custody and delivery outcomes stay in different messages.
  • Cash-on-delivery amounts reach the till without matching shipments.

Proposed scope by movement

  • Each handover can link to the selected barcode record.
  • Proof of delivery and payment will be considered separately on the shipment.

An example shipment from acceptance barcode to courier cash records

Consider a business's cash-on-delivery parcel. The sender's list and accepted package are checked at the centre, then assigned by area. Explain scanning points so we can choose movement-record order. Recipient details and signatures or photos where needed can be scoped separately. Collected payments will be considered as inputs to courier end-of-day cash records. Sender settlements and cash handed in by couriers are different checks.

  1. 01

    Accept the shipment

Single or bulk shipment entry and barcode labels can be scoped. We will determine which acceptance check an arrival scan completes.

  2. 02

    Assign for delivery

Courier allocation by region and delivery window can be designed. Operations staff's need to change suggested stop orders will be discussed.

  3. 03

    Match delivery and cash records

Recipient names, delivery times and selected evidence fields will link to shipments. Comparing cash and card collections with courier cash records will be scoped separately.

Define boundaries for barcodes, sender portals and payment reconciliation

You may prioritise acceptance and delivery movements initially. Cash-on-delivery volume may also make courier cash checks an early choice. A sender portal requires external businesses to create their own records; editable fields need separate discussion. Recipient tracking pages and internal operational records will show different details. Maps and e-commerce connections depend on your infrastructure's access. We will identify technical dependencies separately from the selected delivery scope.

  1. Core shipment movements

    Acceptance and custody
Shipment fields, barcodes, centre intake and courier handovers will be assessed as first-release options.
    Delivery and collection
Successful deliveries, failed-attempt reasons and shipment-linked payment checks can be scoped.
  2. Additional business access

    Sender and recipient areas
Sender portals, bulk uploads, payment statements and limited tracking pages can be added according to need.
  3. Delivery dependent on external systems

    Maps and order imports
Provider connections for maps, messaging or e-commerce allow review of data fields and technical conditions in the project.

Different completion checks for standard and cash-on-delivery parcels

Delivery may not complete financial checks for a cash-on-delivery shipment. Standard parcels prioritise delivery outcomes; payment-bearing parcels also need courier collections and sender reconciliation. Explain shipment types so we can select completion states. Sources for card amounts and cash handed in will be discussed separately. This comparison supports distinct delivery and outstanding-finance lists.

Completion inputs

Standard shipment
Delivery outcomes and selected evidence are reviewed.
Cash-on-delivery shipment
Collected amounts and payment methods are assessed alongside delivery.

End-of-day checks

Standard shipment
Open and delivered shipments in courier custody are considered.
Cash-on-delivery shipment
Courier cash records can be compared with shipment payments.

Sender view

Standard shipment
Selected movement and delivery status details are released.
Cash-on-delivery shipment
Payment statements and sender reconciliation will be scoped separately.

Limit recipient and employee data access around courier tasks

Sender portals need no access to other businesses' recipient lists. Couriers can also be limited to assigned shipments. The software we will build will design separate access to addresses, signatures and photos. If employee location is needed, its purpose and use during tasks will be assessed under KVKK, Turkey's personal data protection law, and relevant legislation. Public tracking status and internal operational detail will be distinguished. Export and financial statement permissions will also be selected separately.

Courier custody area

Necessary address and delivery fields for the courier's shipments will be scoped. Evidence corrections will be discussed separately as operational permissions.

Sender accounts

Access to each business's shipments and selected payment statements can be designed. Detail levels for shared centre movements will be chosen separately.

Personal record scope

Your business is the data controller for recipient and employee information. Retention, location, sharing and messaging consent will be assessed in scope.

Retrying or returning parcels that could not be delivered

An absent recipient, incorrect address and refused parcel may require different decisions. The project will link each failed attempt's reason, time and next decision to the shipment. You choose who decides on another delivery or return to sender. Centre acceptance of a returned parcel and physical handover to the sender can be separate movements. Cash-on-delivery records require separate financial review. Movement history retaining earlier attempts and the waiting parcel's location can support classification of outstanding work.

Confusion after failed delivery

  • A parcel awaiting another attempt is marked returned.
  • A returned parcel's handover from the centre to the sender is not recorded.

Exception workflows linked to shipments

  • Attempt reasons and subsequent delivery decisions can be designed separately.
  • Return acceptance, sender handover and financial checks can be linked.

Match tracking codes with outstanding custody and cash records

We will check whether existing tracking codes distinguish every record. Parcels in delivery, waiting at the centre and being returned need different starting states. Anonymised samples enable status mapping. Open cash-on-delivery entries require separate comparisons with courier records and sender statements. E-commerce imports also need source-order and tracking-code relationships and checks for repeated entries.

  1. 01

    Identify open movements

Shipment codes, latest movements and custody responsibility will be verified in samples. Parcels missing status can enter operational review.

  2. 02

    Check payment starting points

Collected but unreconciled amounts will be compared against selected shipments. We will define relationships between courier and sender records together.

  3. 03

    Connections and synchronisation

E-commerce or map access allows technical workflow review. If offline delivery records need local storage, this will receive separate scope assessment.

Explore shipment handovers through our automation service and project

Acceptance, courier handover and cash checks involve different people recording actions. Our automation service and published project help you consider transitions between these responsibilities. Your barcode format, evidence and return routine will be defined separately. Describing how one failed delivery passes between teams helps select states for outstanding-work lists.

Define delivery scope with a label and reconciliation sample

Prepare a neutral shipment label, blank delivery form and cash-check sheet. Explain return decisions for undelivered parcels and payment matching. For the software we will build, we will choose acceptance, custody and delivery priorities first. Sender portals, offline use and external imports will be discussed separately.

  • List transfer and courier custody checkpoints.
  • Identify the operational role deciding returns.
  • Explain source records for cash-on-delivery checks.

The proposal will follow shipment types and selected user areas. Subscription, technical connections and support terms will be assessed with the written scope.

Frequently asked questions

How does a courier record a delivery where there is no signal?

We can design the courier app to keep delivery records on the device while there is no connection and send them once it returns. The record keeps the time at which the delivery actually took place.

Is tracking couriers' locations a legal problem?

Tracking an employee's location for work purposes requires informing them and a legal basis. We design the software so that what is collected, during which hours, and who can see it are configurable. The privacy notice and the legal assessment remain with you and your legal adviser.

Does the software decide the stop order?

It suggests an order based on addresses and delivery windows, and the courier or operations team can change it. Live re-planning around traffic requires a connection to a mapping service; which service is used is decided within the project scope.

Can orders from our online shop be imported as shipments?

That depends on the interface your platform offers. We settle during scoping whether it will be a direct connection or a file import; either way, orders become shipments without being keyed in again.

Do we need label printers and handheld scanners?

Barcode labels are designed to print on a thermal label printer, and a label format you use today can be adopted. Scanning can be done with a phone camera or a handheld terminal; the choice is made during scoping according to your daily volume.

How are failed deliveries and returns tracked?

A reason is selected for every failed attempt, such as nobody at home, wrong address or delivery refused. The parcel goes back out for delivery or into the return-to-sender flow, and every step appears in its history.

Does a returned parcel reaching the centre count as delivery to the sender?

Centre acceptance and physical sender handover can be separate movements. Each step's owner, barcode check and outstanding payment will be assessed together; completion criteria will follow your operational routine.

Can cash checks remain open after delivery is complete?

Delivery status and financial checks can be kept separate. We will define records confirming courier collection, cash handover and sender reconciliation. Outstanding financial work can retain its shipment link.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
