Technical Service & Device Repair

Technical Service Software

Track where a device is waiting, the quotation status and handover preparations on one repair job sheet. We will define the initial scope of the technical service software we will build around your workshop and field operations, using your intake and handover documents.

  • Scope shaped around your workflow
  • Roles and record design
  • Integrations subject to conditions

Job sheets lost among devices on the shelf

When the device shelf is full, finding a job's current stage can become a task in itself. Reception takes the customer's question, the technician waits for a part and purchasing asks again which job the order belongs to. An unreadable serial number also makes previous repairs difficult to find.

In the software we will build, job sheets, devices and intervention history will be considered together. By defining what you record at intake, we will scope a workflow that links diagnosis, quotation and handover through the same record. Distinguishing jobs awaiting parts from those awaiting customer approval will help the team choose its next action.

Your current process

  • Paper job sheets, device shelves and parts orders are tracked separately.
  • A technician must be contacted to answer the customer's question.

In the software we will build

  • The job stage and reason for waiting will be scoped as separate fields.
  • Device history will be linked to serial numbers and intake information.

A repair from device intake to handover

Let us follow a device left by a customer from intake to handover. We will ask for an intake sheet, sample quotation and test checklist. The same scenario will cover closing a job when repair is impossible or the quotation is declined. The sequence below is a starting point for defining the business rules of the software we will build together.

  1. 01

    Intake and diagnosis

Device details, serial number, customer complaint, accessories and intake photographs will be linked to the job sheet. The technician's diagnosis and the issue reported by the customer will be separate fields.

  2. 02

    Quotation and decision

Proposed parts and labour will be linked to the quotation. Approval, rejection and revision requests will have distinct statuses; the person communicating the decision and the communication method can be recorded.

  3. 03

    Repair, testing and handover

Approved work, parts used and test results will be tracked on the job sheet. The recipient, handover document and returned accessories can be included in the closing checklist.

Start with repair job tracking and parts movements

Choose the first version around the work your service team handles most often. We will assess job tracking separately from full warehouse management; reserving, consuming and returning parts are different movements.

Replacing a manufacturer's portal, automatically diagnosing faults and making manufacturer warranty decisions are outside this initial scope. You will determine how your own repair terms are recorded. Additional modules will be chosen according to the points where everyday records no longer provide enough information.

  1. For the first version

    Job sheets and devices
Intake, device history, diagnosis, quotation status and handover records can form the first version's daily tracking core.
    Waiting for parts
Reserved parts, ordering needs and the stage at which stock movements occur will be defined together.
  2. Added as needed

    Field work and customer view
Technician scheduling, vehicle stock and a limited customer status page can be added as needed.
  3. Dependent on external systems

    External connections
Maps, SMS and Turkey's e-invoice system can be scoped separately if your provider offers API access and technical conditions allow.

Workshop repairs or on-site technical service?

The same job structure can connect both working methods, but the information needed differs. In the workshop, the physical location of a device matters; in the field, the customer's address and visit preparation take priority. If you handle both, we will discuss workshop-to-field handovers and which stock supplies the technician's parts. Location records and route suggestions will be assessed as separate, optional scope.

Job intake

Workshop
Device, accessories and shelf location can be recorded at intake.
On-site service
Address, visit time and access information can be added to the job.

Parts

Workshop
Workshop stock and parts reserved for a job can be tracked.
On-site service
Vehicle stock, warehouse issues and unused parts returns will be scoped.

Job closure

Workshop
Testing and device handover checks can be selected.
On-site service
An intervention summary and the document left with the customer will be defined.

Permissions for repair reception, technicians and stock staff

Customer details, device contents and service costs have different sensitivities. In the software we will build, permissions will give reception status information, technicians their assigned jobs and management the summaries they need. We will define job editing, quotation approval and export permissions together.

Service reception

Intake, handover, customer contact details and job stages will be considered within the role. Permission to edit part costs will be selected separately.

Technicians and stock staff

Technicians can be assigned diagnosis and intervention records; stock staff can handle reservations, consumption and returns. Rules for editing another person's jobs will be defined.

Management and records

Quotation revisions and changes to handover records will be scoped for the activity log. KVKK, Turkey's personal data protection law, retention and access needs will be assessed; your business is the data controller.

Returning a device unrepaired after a declined quotation

When a customer declines a quotation, the job should not close as a completed repair. The software we will build will scope diagnosis, quotation rejection and unrepaired handover as separate steps. If you charge an inspection fee, you will define when it is added to the record.

Returning reserved but unused parts to stock and the explanation given to the customer can be linked to the same job. If the quotation is later accepted, we will design how to record the new decision while preserving the earlier one. This keeps the history clear when the device returns.

What makes the decision difficult

  • A declined quotation can be recorded as a completed repair.
  • Reserved parts and device handover can remain unresolved.

Workflow to define in the project

  • The rejection reason and unrepaired handover will have separate statuses.
  • Unused parts returns can be linked to job closure.

Serial numbers and part codes in old job sheets

We will examine serial number, model and customer matching in your old job sheets. For devices without serial numbers, we will establish how to preserve your own record identifiers. Matching part codes and stock units is another migration task. Manufacturer portals and accounting connections will only be considered where access conditions and the provider's API support allow.

  1. 01

    Review the source records

We will examine serial numbers, part codes and fault statuses in old job sheets with customer details removed. Your team will help match separate sheets for the same device and parts with changed codes, identifying unclear records.

  2. 02

    Trial transfer and review

The trial transfer scope will include checking that device history links to the correct serial number and job-sheet part codes match stock records. Open repairs, duplicate device cards and missing serial numbers will be reviewed separately.

  3. 03

    Establish the connection requirements

If API access exists for stock or notification connections, job IDs, part codes and failed transaction responses will be examined. Without access, old job-sheet and parts files or entry by the service team will be considered.

Proposal boundaries for missing device identifiers

Bring three sample jobs: repaired, waiting for parts and quotation declined. Remove customer details while keeping the fields you use. Add your parts stock list and handover checks so we can choose together which steps the first version needs.

  • Identify the technician updating job status and the role recording device handover.
  • Choose serial-number and part-matching priorities for the initial scope.
  • Prepare job-sheet and part-code examples with customer details removed.

Job sheets without serial numbers, part-code matching and open repairs will define the proposal's data boundaries. The usage model, support and scope of stock connections under review will be discussed in writing.

Frequently asked questions

We are an authorised service centre. Would this replace the manufacturer's portal?

No. The manufacturer's portal keeps doing its job; the software we build runs your own operation: ticket tracking, the parts queue, customer updates and reporting. Whether a manufacturer allows data transfer, and how it could work, is examined as part of the project scope.

Do we need a serial number database for warranty checks?

No. Warranty records are built from your own sales and booking-in records, using the date on the invoice the customer brings. If you are a dealer, importing lists that the manufacturer can provide is assessed separately.

Can customers check the status of their device themselves?

This can be included. We can design a status page opened with the ticket number and the last digits of the customer's phone number; costs appear only when quote approval is requested. Notifications by SMS or WhatsApp Business when the stage changes can also be connected.

We repair in the workshop and on site. Can both run in one system?

Yes, and we design it that way from the start. Both job types share the same ticket structure but follow separate flows: booking-in and testing in the workshop; appointment, travel and signature on site. You decide whether a technician's visit time and location are recorded.

How do we spot repeat failures?

If the same device, matched by serial number or by customer and device, comes back with the same fault group within a period you set, the ticket is flagged. The period and the fault groups are your definition of quality; we agree them with you during discovery.

How will a job close if the customer declines the quotation?

Tracking the rejection reason, unused parts returns and unrepaired handover in separate records can be included in scope. Inspection fees or requotation rules, if applicable, will be defined around your working methods.

How can we identify a device with an unreadable serial number?

We can consider matching an identifier created at intake with the model, customer and intake photograph. A review step will be scoped so your team can check potential duplicate records.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
