Development shaped around your counselling practice
Psychology and Counselling PracticeChoose a workflow that manages session calendars while preserving boundaries around notes. In the psychology and counselling software we will build, therapists' private records will be scoped separately from centre operations.

When a client calls to reschedule, reception needs the appointment time. If detailed notes sit in the same file, a simple calendar task can create unnecessarily broad access. Keeping notes elsewhere forces therapists to reconnect packages and appointments. A manager's question about utilisation does not require clinical content.
Separating responsibilities and information needs makes daily operations clearer. Appointments, payments and packages will be scoped in an administrative area; notes will be accessible only to the therapist who wrote them. This separation will extend beyond page views to viewing and export operations.
Let us use a session beginning with an initial enquiry as an example. Reception's information gathering, therapist fields and the client's own view will be discussed separately. When describing in-person and online sessions, you can also specify who decides cancellations and postponements.
Necessary client contacts, therapist links and rooms where needed will be scoped. For online sessions, we will separately design where connection details appear.
Notes will be considered for access only by their author. Specialist-defined scales and score fields can link to assessment records without appearing in appointment descriptions.
Attendance and package usage can be recorded administratively. Next sessions, payments and reminders will be scoped without sharing note content.
Consider the calendar and restricted notes together for the first version. Packages, assessment scales and client screens may need different permissions. Scale items and scoring will follow your specialist's choices; content usage rights will also be addressed in scope discussions.
More practitioners change more than calendar columns. Room reservations, matching clients to therapists and management report fields also need clarification. An independent practitioner may choose narrower administration; a centre can extend resource and reporting scope while preserving private note boundaries.
| Independent psychologists and centres sharing consulting rooms | Independent practitioner | Centre with several therapists |
|---|---|---|
| Session resources | Working hours and session types take priority. | Therapist hours and shared room availability will be considered together. |
| Note ownership | Authorship and access boundaries will be defined through the individual's account. | Preventing other therapists and centre managers from opening notes is a design principle. |
| Operational summary | Personal calendars, cancellations and payment summaries can be scoped. | Therapist utilisation and payment summaries will be separate from session content access. |
Choose utilisation and cancellation information independently of note text. In the software we will build, viewing, search and export permissions will observe the same boundary. Field purposes will be defined alongside team responsibilities to avoid sensitive content in appointment descriptions.
Author-only private note access and access logging will be considered in the design. A management account will not be treated as general access to these notes.
Separate views will be defined for appointments, room use, packages and payments. Search result and report output fields will be selected.
KVKK, Turkey's personal data protection law, relevant legislation, consent, retention and access requests will be assessed. You operate the counselling service and are the data controller; legal decisions will be discussed with your authorised adviser.
A client continuing with another therapist should not mean automatic sharing of previous notes. While calendar assignments change, the boundary around the former therapist's records should remain. Search and file export workflows become especially important when the scheduler and note author differ.
Assigning a new therapist will be scoped separately from access to old notes. Sharing or client access requests will be discussed through your professional and legal assessment. Opening notes to another person will not be tied to an ordinary calendar setting. We will separately select which administrative history supports new scheduling.
Use blank examples showing field names instead of actual session notes. We will examine the sources of calendars, package lists and therapist files. Migration will consider matching records to correct authors and access boundaries alongside technical exportability.
Contact lists, appointment history, packages and private notes will be separate migration groups. We will identify who reviews each group.
Trial transfers will review therapist authorship, client matching and dates. Notes whose authors cannot be verified will require a separate decision.
Different access scenarios for therapists, reception and management will be scoped. Messaging or online session connections will enter the project only after reviewing provider technical conditions.

An appointment schedule and blank field list may be enough to start. You can describe who performs each task without sharing notes. We will choose room use, package rules and client views together to define the first version.
The separation of administrative session records and restricted client notes will define the proposal boundaries. Subscription use, support and access responsibilities for later record changes will be discussed in writing.
We do not sell an off-the-shelf package: we design the software around your workflow, build the first version in short steps and keep running it after launch.
We listen to how your business works, your team and the tools you use today.
Modules, priorities and price are set out in a written quote.
We show working versions at short intervals and move on with your feedback.
We move your existing records across and help your team get started.
We run the software on a subscription and keep it up to date and secure.
In the setup we recommend, no: even as the owner you cannot open another therapist's session notes, and the management view shows only appointments, occupancy and payments. Session notes are covered by professional confidentiality, and we recommend that this separation cannot later be relaxed through a setting.
Not by default. Recording a session is a separate matter of consent and retention; the software is designed so that it neither requires recording nor records on its own. The video service used for online sessions is chosen per project. If you need recordings, we discuss them separately, together with the legal framework.
You define the name, items and scoring structure of each scale. Because some scales are copyrighted and require a licence, we do not add a list of scales on our own initiative; licensing is the responsibility of the practitioner using them. The software records the structure you define and compares scores across sessions.
A client view showing appointments, remaining package sessions and payments can be included in the scope; session notes do not appear in it. What to do if a client requests access to their own notes is a legal question, and the decision is yours.
Yes, because the scope is set according to need. For a sole practitioner, a diary, session notes and package tracking may be enough; a practice with several therapists would add separate permissions, room planning and practice reports.
We recommend limiting messages to the information needed for the appointment. Assessment scores and private notes will be scoped separately from notification templates; recipients and channels will also be assessed during discovery.
Closing account access and retaining historical records can be separate actions. Authorship, retention decisions and responsibility for access requests will be assessed against your professional and legal needs.
After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.
In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.
We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
