Scope shaped around your removals team

Removals & House Moving

Removals Software

Consider the surveyed belongings, the customer’s quotation and moving-day job order together. We will scope the removals software we will build around your vehicles, teams and decisions on additional services.

  • Room-by-room survey details
  • Team and vehicle planning linked to quotations
  • Separate loading and delivery records

Distinguish a telephone estimate from the post-survey quotation

The belongings described over the phone may differ from the load on moving day. If floor and parking notes never reach the crew, vehicle or external lift decisions have to be revisited. You need to see the information behind the quotation and the scope the customer accepted within the same job. In the software we will build, enquiries, site surveys and quotations will be scoped as separate stages. We will also select how item lists and specialist services pass into the job order. Delivery records and outstanding payments can be considered as separate checkpoints under that job.

Gaps before moving day

  • Survey notes remain in a file separate from crew planning.
  • The initial estimate and accepted quotation are treated as the same amount.

Proposed links within each job

  • Survey details could be linked to the approved quotation.
  • Crew assignments could follow the accepted service scope.

A sample house move from survey appointment to unloading record

Consider a job starting with a house-removal enquiry. Recording belongings room by room helps explain quotation items; floor and lift notes may also affect crew planning. Once you show us your survey form, we will select the calculation method and planning conditions. Scheduling the accepted quotation with its deposit, allocating a vehicle and assigning the crew are separate project steps. We will also discuss the points at which pre-loading and post-unloading records should be compared when closing the job.

  1. 01

    Assess belongings and access

Room-by-room lists, photos, floors, lift access and parking could be included. Volume definitions will use values supplied by your business.

  2. 02

Match the quotation to the plan

Distance, packing, dismantling, reassembly and extra staff could be linked to quotation items. Acceptance, deposits and suitable crews and vehicles are assessed together.

  3. 03

    Check the move and handover

Crew orders and records before loading and after unloading could be designed. Damage notes, customer signatures and balances are selected separately.

Choose modules for surveys, vehicle schedules and stored belongings

If clear quotations are your priority, surveys and service items can come first. If crew clashes create more work, vehicle and staff scheduling could also enter the initial release. In the software we will build, questions for house, office and part-load moves will follow your working practices. Stored belongings require a different follow-up from moving-day work. We will discuss how customers, storage bays and volumes relate during the storage period. External messaging and financial-document connections will depend on technical access conditions.

  1. Starting a removals job

    Survey and quotation file
Item lists, access conditions, pricing rules and quotation acceptance could form the initial scope.
    Crew and vehicle job order
Date availability, clash checks, extra staff and moving-day tasks could be linked.
  2. Additions by job type

    Storage and other move types
Customer belongings in storage, bay details and questions for office or part-load moves could be added as needed.
  3. Work dependent on technical access

    Notifications and vehicle data
Messaging, Turkey’s e-Arşiv electronic invoice archive or vehicle-tracking links would be scoped separately if your provider offers access.

Compare survey questions and tasks for house and office moves

House moves may focus on room-by-room furniture and special-item lists. Office jobs may need different survey questions and task groups for the equipment you move. When you describe your job types, we will identify shared fields and varying questions. Part-load jobs can be discussed separately in terms of vehicle space and handover details. We will use this comparison to define your own services; crew and vehicle availability will be assessed using the records selected for each type of job.

Office move
Job-specific survey notes could also be used in the task list.

Separate access to home photographs and moving assignments

Survey photographs may reveal information about a customer’s living space. In the software we will build, access to photographs and addresses will follow task needs. Creating the survey list, carrying out a crew order and adjusting payments will be treated as different permissions. If vehicle location sharing is requested, we will discuss employee-data needs alongside the provider’s technical access. KVKK, Turkey's personal data protection law, photo retention, location use and occupational safety requirements are considered only within scoping. Your workflow will help determine which information reaches the crew and when.

The surveyor’s record

Permissions for adding items and photographs will be selected. Changing an accepted quotation and adding services may require separate decisions.

The crew leader’s daily assignment

The assigned address, access notes and handover checks will be scoped. Visibility of other crews’ jobs will be discussed separately.

Management and personal information

Collection, export and deletion needs will be assessed. Your business is the data controller for addresses, belongings and employee data.

Review post-survey price changes separately from damage to belongings

Extra belongings or changed service requests after a survey may require a revised quotation. Damage noted on moving day requires a different review. The project could link the previous item list, new request and price-change decision to the job file. You will determine the summary shown to the customer and how acceptance is recorded. Links between pre-loading images, post-unloading notes and handover records will be scoped separately for damage. Keeping extra-service calculations and damage reviews from closing one another could be a design consideration for tracking unresolved decisions.

Records become mixed when a job changes

  • Extra belongings are silently added to the old quotation’s scope.
  • Damage notes disappear during discussions about the balance.

Decisions linked to the removals job

  • Quotation revisions and customer acceptance could be recorded separately.
  • Damage reviews could be linked to the affected item and delivery check.

Match future moving dates with outstanding deposits

We will review dates, vehicle names and crew names in existing job lists together. Separate rows for a customer’s survey and removal must not be mistaken for duplicate jobs. We can identify this relationship in anonymised examples. Accepted quotations, deposits and outstanding balances will be checked as separate opening states. Jobs with belongings in storage will also be considered using bay and volume details. If location or messaging links are requested, their source records and technical access requirements will be discussed separately from migration.

  1. 01

    Match enquiries and jobs

Identify how surveys, accepted quotations and removals relate in a sample file. A review list could flag missing dates or crew names.

  2. 02

    Verify deposits and storage

Compare outstanding payments for selected jobs. Customers, bays and volumes for stored belongings could be assessed as separate migration fields.

  3. 03

    Review provider access

If your vehicle-tracking provider offers data sharing, we will discuss the connection. Customer-facing information and employee-data scope are assessed separately.

Explore web and automation approaches to surveys and crew handovers

Removals survey forms and moving orders serve different users. Our web service can help you consider these workspaces, while the automation project offers a way to think about passing records between responsible people. Your volume definitions and quotation decisions will be selected through an example job. Before our discussion, explain how an accepted quotation reaches the crew without using personal information. This helps us identify the fields needed in the first release.

Define quotation and crew requirements using a blank survey form

Let us start with your survey questions, item types and quotation lines. Explain who approves price changes, which notes the crew receives and how damage reviews work. For the software we will build, we can first select the survey–quotation relationship and vehicle plan. Storage and provider connections will be assessed as separate development needs.

  • Explain how you allocate vehicles and external lifts.
  • Identify your loading and unloading checkpoints.
  • Prepare a quotation example without personal images.

The software quotation will reflect job types, planning and record needs. Subscription use, support and other usage requests will be discussed in a written agreement.

Frequently asked questions

Can we quote without a survey?

The software can produce an estimated range from the number of rooms and rough inventory details, but we advise against using it as a firm quote. We design it to keep the pre-survey estimate and the post-survey quote as separate documents, so it is always clear which one the customer received.

Where does the volume list come from?

A starting list of common furniture and household items is put together with you, and you adjust the values from your own experience. The wardrobe you move may not match the wardrobe on the list; over time the list settles onto your actual jobs.

Can photographic records be made mandatory?

Yes, and you decide whether they are. Because records without photographs carry little weight in damage disputes, we recommend setting it up so that a job cannot be closed without photos taken before loading and after unloading.

Can a vehicle's position be shared with the customer on long-distance moves?

If your vehicle tracking provider allows data sharing, location data can be connected to the software. Sharing it with the customer is an optional setting. Informing drivers and crews is a legal matter that we recommend reviewing with your legal adviser.

We also do office moves and single items. Can these run in the same system?

Yes. Job types are defined separately: house moves, office moves, single items and long-distance moves. Each has its own survey questions, quote lines and job sheet steps.

Could added belongings be handled as a revision while retaining the original quotation?

The scope could preserve the survey list and accepted quotation while treating the new request as a separate revision. We will define price differences, customer acceptance and the final crew service list around your business’s method.

Could a post-delivery damage review remain separate from payment tracking?

The project can assess linking damage notes to the relevant item and delivery record while keeping review status separate from payment status. We will select the required photographs, explanations and authorised decisions together.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
