Bespoke development for your veterinary clinic

Veterinary Clinics and Pet Health

Veterinary Clinic Software

Follow an animal's history, its owner's contact details and the next vaccination together. We will define the scope of the veterinary clinic software we will build around your examination routines, vets' responsibilities and stock records.

  • Animals linked to owners
  • Vet-defined vaccination schedules
  • Batch and expiry tracking

When one owner's animals have separate veterinary files

The person on the telephone may be the same, but each animal has a different history. A cat's follow-up date can become confused with the owner's dog's vaccination record. When a patient name is insufficient, the team searches telephone numbers, old prescriptions or details remembered by the vet. Payments remain in the owner's account while treatment notes sit elsewhere.

Finding animal and owner together lets you prepare from the correct record. Species, breed, date of birth, microchip and weight history will be scoped for each animal, keeping animals belonging to one person distinct. Owner contacts and patient clinical history will be designed for different purposes.

Disconnected veterinary files

  • Examination histories of animals with the same name can be confused.
  • It can be unclear which patient an owner is being called about.

A workflow starting from the animal record

  • Search by microchip, patient name and owner details will be scoped.
  • Links between appointments, examinations and owner accounts will be explicitly defined.

A vaccination visit from examination to follow-up

Let us discuss a vaccination appointment as a daily workflow example. Reception's preparation information differs from the history the vet needs for decisions. We will ask for a blank examination form, stock list and follow-up record. The example will also consider how to distinguish the booking reason from the procedure performed if the reason for the visit changes.

  1. 01

Match the patient to the correct record

In the software we will build, animals will be searchable through owner contact details. Appointments will be linked to the relevant patient; access to earlier examinations and vaccinations will be scoped by role.

  2. 02

    Record the vet's procedure

The vet's entry of complaints, findings, diagnosis and treatment will be designed. We will define batch links for vaccines or medicines used and who verifies the stock record.

  3. 03

    Plan the next check separately

Follow-up or dose dates set by the vet can be linked to the patient record. Completed procedures will relate to the owner's account; future checks will not appear as completed examinations.

Choose scope from veterinary examinations to medicine batches

Set priorities around patient history and vaccination tracking. To connect stock movements to examinations, we will review product names, batch information and usage records. If you also offer boarding or grooming, their resource plans will be assessed separately from clinical appointments. Not every option needs to enter the first version.

  1. Records to select at the start

    Patients, owners and examinations
Animal records, owner relationships, vet-specific appointments and treatment history can be scoped together in the first version.
    Protocol-based calendars
Vaccination and parasite treatment dates will follow clinic-defined rules, with follow-up lists designed for upcoming and overdue records.
  2. Extensions for your clinic's services

    Stock and animal care
Batches, expiry dates and product usage can be added as needed, alongside separate resource calendars for boarding, clipping or grooming.
  3. Work requiring technical connections

    Laboratories and notifications
If equipment provides files and your provider offers a connection, result imports, messaging and invoicing will be examined separately.

Patient-focused records or examination-linked batch stock

Organising examination history and tracking products on shelves require different data. You can prioritise patient records and address stock links later. If you select both, we will define which procedure creates each usage entry and who can correct stock. This comparison helps you choose development priorities.

Starting record

Patient and owner tracking
Animal identity, owner and examinations entered by the vet form the basis.
Examination-linked stock tracking
Product batch, expiry and quantity used during examination are also needed.

Review needs

Patient and owner tracking
Missing vaccination history and incorrect owner links will be reviewed.
Examination-linked stock tracking
Physical counts, batch distinctions and usage corrections will be considered separately.

Daily responsibility

Patient and owner tracking
Reception handles appointments and vets handle clinical records with their own permissions.
Examination-linked stock tracking
Staff responsible for verifying stock receipts and examination-related movements will be designated.

Share veterinary findings and owner contacts by responsibility

Calling an owner need not require access to every examination note. The software we will build will treat appointment handling, clinical editing and account viewing as separate permissions. We will discuss which history to share after a change of vet according to your clinic's working methods.

Vets and support staff

Links between examination records and responsible vets, assistants' preparation access and correction permissions will be defined in the project.

Reception and accounts

Fields needed for owner contact, appointments and payments will be selected. Bulk exports and everyday calling access will be assessed separately.

Personal data scope

Owner personal data, KVKK, Turkey's personal data protection law, relevant legislation, retention preferences and access logs will be assessed. Your clinic is the data controller.

Ownership changes, vaccination history and stock expiry reminders

When an animal arrives with a new owner, its previous examinations still belong to the same patient. A different contact person creates a new situation for communication and accounts. Replacing the telephone number in an animal record should not automatically change earlier account relationships. We will choose who verifies this transition together.

Vaccination timing and stock expiry are separate calendars. Vet-defined dose reminders will be scoped by patient and expiry dates by product batch. The new owner's access to history and preservation of earlier payments will be assessed during discovery; vaccination decisions remain with the vet.

Changes mixed in the same record

  • New telephone details can become confused with the former owner's account.
  • An upcoming vaccination date can be mistaken for a stock batch expiry date.

Tracking through separate relationships

  • Ownership changes will be scoped separately from patient history.
  • Dose dates and batch expiry will have different tracking purposes.

Linking historical vaccination lists to the correct animal

When preparing migration, examine identity matching as well as animal names. A sample table without personal data can show how one owner's animals are distinguished, where vaccination dates sit and whether batch details exist. Patient links for laboratory files will be considered separately.

  1. 01

    Match dates and identities

Microchip fields, owner relationships and vaccine names will be mapped. We will agree whether undated records should appear differently from verified history.

  2. 02

    Check a sample patient group

Trial transfers will compare duplicate animals, latest vaccinations and open owner accounts. Fields verified by your team and information that cannot be transferred will be defined in scope.

  3. 03

    Review equipment output

Technical conditions will be investigated if the laboratory supplies files or connections. Uploading a file and receiving data directly from equipment will be treated as separate development tasks.

Pages to explore when explaining your veterinary requirements

The pages below can help turn your clinic's daily work into a web application. Appointment relationships in the existing product provide discussion examples; animal identities, vaccination protocols and batch rules will be defined separately for your project.

Prepare a proposal with veterinary examination forms and batch lists

Start with a blank patient record, vaccination schedule and stock example. Once you explain which tasks remain with reception and which with vets, we will define the first version's record relationships. Later care services and external connections can be separate scope items in the same proposal.

  • Mark the fields you use for animal identities and owner accounts.
  • Explain who defines and changes vaccination protocols.
  • Prepare samples without personal data for stock batches and equipment output.

The proposal will be prepared around your selected patient workflow and additional work. Subscription use, support scope and responsibilities will be discussed in writing.

Frequently asked questions

Does the software decide the vaccination schedule?

No. You define the schedule according to your clinic's protocol; we design the software to track it for each patient and send a reminder when a dose is due. A vaccination programme is a clinical decision and remains the vet's responsibility.

Can we find a patient by microchip number?

Search can be set up to work by microchip number, patient name, owner name or phone number, so a single search tells you whether an animal brought in to you is in your records.

Can results be imported from our laboratory analysers?

That depends on the device. Some analysers produce a results file, and attaching that file to the patient record can be scoped. We look at your models during the discovery meeting and tell you whether a direct connection is feasible; if it is not, results can be attached as a PDF.

Several vets work here. Will records get mixed up?

We design the software so that every procedure is recorded with the vet who carried it out. Permissions for vets, veterinary nurses and reception can be set separately, and reports of procedures and revenue per vet can be part of the scope.

Can we bring over our existing patient records?

Lists from Excel or your current software can be imported. If past vaccination records were kept tidily, they can come across too, which matters because the schedule depends on that history. If they are patchy, we look together at what can safely be moved.

Can boarding and grooming be included?

If your clinic offers boarding or grooming, a separate calendar, a kennel or room plan and charges for these services can be added to the scope. They can be linked to the patient record, so the animal's vaccination status is visible at admission.

Will earlier payments be assigned to the new owner after an ownership change?

We can scope animal history and owner accounts as different relationships. Your clinic's recording rules will determine who retains earlier payments and when the new contact details are used.

Will expiry warnings and overdue vaccinations appear in the same list?

We recommend designing these as separate follow-up purposes. Expiry relates to product batches; vaccination dates relate to the vet-defined patient schedule. During discovery, we will choose which staff follow each list.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
