Appointments and Client Management

AI-Assisted Smart Appointment System

Connect telephone appointments and online requests to the same resource calendar. We will choose the scope of the online appointment system we will build around service durations, staff, rooms and equipment; AI support will be assessed if requested.

When the member of staff is free but the room is occupied

A member of staff may appear free while the required room is occupied. If a slot booked by telephone remains open online, the same resource can be allocated twice. After a last-minute cancellation, messages may obscure who should be offered the slot; an overrunning service requires later appointments to be reconsidered.

The system we will build will consider services, staff and required resources together. You will define the rooms or equipment each service needs and its preparation allowance. Requests, confirmed appointments and waiting lists will have separate statuses. Your team will follow the preparation needed for a time slot as well as the time itself.

Your current process

  • Telephone, message and online requests remain in separate lists.
  • An occupied room or device is noticed late despite staff availability.

In the software we will build

  • Resources needed for each service will be scoped together.
  • Cancellations, postponements and waiting lists will have separate statuses.

Telephone and online requests for the same room

Consider a service requiring a member of staff and a shared room. An online customer and a telephone enquiry may request the same resource. We will ask for your service list and a daily calendar example. Together, we will define when the appointment becomes confirmed, which message goes to the customer and how the team decides when a service overruns.

  1. 01

    Services and availability

Duration, staff qualifications, rooms, equipment and preparation time will be defined together. Online slots will be designed around these rules; telephone bookings will use the same calendar.

  2. 02

    Requests and approval

Direct confirmation or team approval will be scoped according to your rules. Customer contact details, appointment status and change requests will be linked to the same record.

  3. 03

    Attendance and next steps

Attendance, no-shows and cancellations will be recorded separately. Offering released slots to the waiting list and booking follow-ups will be designed as needed.

Resource calendars, online requests and optional suggestions

Choose the problem the first version should address: resource clashes, scattered requests or gaps following cancellations. Each requires different business rules.

AI suggestions will be assessed separately from the initial calendar. We will define the data used and how staff decisions are recorded together. Autonomous planning decisions, clinical advice and unconditional connections to all messaging channels are outside this initial scope. Service-specific customer fields will also be selected according to need and processing purpose.

  1. For the first version

    Calendar and services
Service durations, staff, rooms, equipment and telephone bookings can form the initial scope.
    Online requests
Available slot selection, approval rules and customer contact fields will be defined alongside the daily calendar.
  2. Added as needed

    Waiting lists and suggestions
Waiting lists, offers for cancellation gaps and AI-assisted suggestions can be added as needed.
  3. Dependent on external systems

    Messages and payments
SMS, messaging platforms and online payment connections will be scoped separately if your provider offers API access and technical conditions allow.

From one service to consecutive appointment services

If you offer several services, the same empty slot may not suit every request. One service may need only a member of staff, while another requires a room, equipment and preparation time. If services are combined in one appointment, we will discuss sequence and resource handovers separately. Optional suggestions aim to give the team choices to support its decisions; recording accepted options and reasons for changes can be included in scope.

Duration

Single-service workflow
Service duration and preparation allowance will be defined together.
Multiple services
Each service's duration and consecutive procedures will be considered separately.

Resources

Single-service workflow
Staff and the required room can be reserved together.
Multiple services
Different staff, room and equipment combinations will be scoped by service.

Suggestions

Single-service workflow
A list of available times may be the priority.
Multiple services
Optional suggestion rules will present choices for the team to decide.

Personal staff calendars and appointment resource management

Contact details, service history and staff working hours require different access. The system we will build will distinguish staff viewing their own calendars from managers editing all resources. Customer rescheduling links will also be limited to the relevant record. Export and bulk communication permissions will be defined separately.

Reception and staff

Reception can handle requests and resource selection; staff can see their appointments and necessary customer information. Editing another person's records will be treated separately.

Management

Roles for changing durations, working hours, leave and room use can be defined. We will establish how existing appointments are reviewed when calendar rules change.

Consent and personal data

Service notifications and marketing consent will be considered separately. KVKK, Turkey's personal data protection law, retention, activity logs and sensitive service fields will be assessed; your business is the data controller.

Cancellation gaps, staff changes and overrunning appointments

Offering the same last-minute cancellation slot to several customers can create another clash. The system we will build will scope offer order, responses and the point at which a slot becomes reserved together.

When staff are absent, transferring appointments and informing customers will be separate steps. Overrunning services will not silently change later bookings; a list of affected appointments can be designed for authorised review. If a notification fails, appointment status and message status will be tracked separately and the team's follow-up method defined.

What makes the decision difficult

  • The same empty slot can be promised to several customers at once.
  • Staff changes reach customer records late.

Workflow to define in the project

  • Waiting-list offers and confirmed appointments will have separate statuses.
  • Records affected by leave and overrunning services will be included in scope.

Migrating staff calendars and recurring series

Service names, durations and staff assignments will be reviewed alongside customer lists. Future bookings and historical cancellations will be handled separately during migration. Records with unknown communication consent sources will need separate assessment. Messaging or payment connections will be scoped with response and error handling if your provider offers API access.

  1. 01

    Review the source records

We will map staff, service duration and recurring booking fields in a calendar sample with personal details removed. Cancelled entries and future appointments will be assessed separately.

  2. 02

    Trial transfer and review

The trial transfer scope will include reviewing overlapping staff slots and missing appointments in recurring series with you. Calendar fields that cannot be transferred and communication consent with unclear sources will be listed separately.

  3. 03

    Establish the connection requirements

If API access is available for messaging or payment connections, we will review appointment IDs, responses and error records. Without access, calendar file transfers or appointment entry by your team will be considered according to your needs.

Proposal scope from recurrence and cancellation examples

Prepare a daily calendar showing services, staff hours and room or equipment use. Add examples of a cancellation, an overrunning service and a staff change. Remove customer details so we can define together which decisions stay with your team.

  • Identify who approves calendar changes and who enters appointments.
  • List recurrence and cancellation priorities for the first calendar version.
  • Prepare an exportable staff calendar with personal details removed.

Recurring appointments, staff changes and overrunning services will inform the calendar scope in the proposal. The usage model, support and limits of calendar connections under consideration will be discussed in writing.

How we work

We do not sell an off-the-shelf package: we design the software around your workflow, build the first version in short steps and keep running it after launch.

  1. 01

    Discovery

We listen to how your business works, your team and the tools you use today.

  2. 02

    Scope and quote

Modules, priorities and price are set out in a written quote.

  3. 03

    Development

We show working versions at short intervals and move on with your feedback.

  4. 04

    Setup and migration

We move your existing records across and help your team get started.

  5. 05

    Support

We run the software on a subscription and keep it up to date and secure.

Frequently asked questions

Will reminders eliminate no-shows?

No, but they help reduce them. A reminder before the appointment can turn some silent no-shows into cancellations or reschedules, so at least the slot can be offered to someone else. We would be wary of any software that promises to eliminate no-shows entirely.

What exactly does the AI do?

If it is included in the scope, the AI offers suggestions that help with scheduling: suitable times based on service duration, staff availability and a client's past preferences, or who a freed slot could be offered to. Suggestions are only suggestions; your staff make the decision. This part is optional and is defined together with you.

Can messages be sent via WhatsApp?

The WhatsApp Business platform can be connected. Messages that your business initiates are subject to the platform's template and approval rules, so the message wording is agreed with you during setup in line with those rules. SMS can be scoped as an alternative or additional channel.

Can several staff members and rooms be managed?

Yes, the scope is built for it. Staff, rooms and equipment are defined as resources, and an appointment holds every resource it needs at the same time, so two bookings that each look fine on their own cannot clash in the same room.

Which sectors can it be built for?

Almost any business that works by appointment: clinics, consultancies, beauty salons or car service centres, for example. Sector-specific fields, such as clinical notes for a clinic or vehicle details for a garage, are identified in the discovery meeting and added to the scope.

Can we import our existing client list?

Yes, from Excel or a CSV file. Past appointment records can be brought over too; how much carries over depends on how consistently your existing records were kept.

How will later appointments be handled when a service overruns?

The system we will build can include team review of affected appointments. Suggested new times, customer notifications and approval of changes will be defined around your working methods.

How will a slot be reserved for a waiting-list customer?

Offered slots and confirmed appointments can have distinct statuses. Offer order, response conditions and reopening the resource will be defined during discovery; the role making the final decision will be chosen separately.

How is the price set?

After a discovery meeting we prepare a written quote covering the scope, the modules and the setup work. The software is provided on a monthly or annual subscription.

Do we receive the source code?

In our standard model the software is provided on a subscription and the source code is not transferred. If you need a different model, it is agreed in a separate written contract.

Who is responsible for what is done with the software?

We build and operate the software. The business using it is responsible for how it is used, the data entered and the content published; the details are set out in the service agreement.
